Account Security

An Accounts Profile allows an administrator to control the account strings a particular user may access. It may be set up using Maintain Accounts Profile or Application Configurator. If Override User Account Profile values are assigned to the user in Application Configurator, the Maintain Accounts Profile option is only used to display, and not maintain, the Accounts Profile.

Note: This feature is not applicable to Infinium, JD Edwards, or Oracle ledgers, nor does it apply if processing queries in Query Designer or Excel.

  1. In Excel, from the Spreadsheet Server Ribbon, select Settings. The Spreadsheet Server Settings > General panel appears.
  2. Select GL Reporting. The Spreadsheet Server Settings > GL Reporting panel appears.
  3. Click the Maintain Accounts Profile button. The Accounts Profile panel appears.
  4. Tip: This panel may also be accessed by selecting Accounts Profile from the Control Panel > GL Balances tab.

  5. Click the Segment Labels drop-down list, and select the ledger or Designer GL definition for which to display account segments.
  6. In the Account Mask field, specify the account string to which the user will have access, and click the Add button. Values may be single account values, masks, ranges, value lists, and segment lists. If using a segment list, the segment list may not include excluded values. A maximum of 20 different account strings is allowed per profile.
  7. Repeat steps 4 and 5 until all account masks for the account profile have been added.
  8. To remove an account mask in the list, select the value in the list and click the Remove button. To remove all account masks in the list, click the Clear All button.
  9. To lock the account profile for security purposes (for example, to prevent others from making changes to the account profile), click the Lock button. The Password dialog box appears. Type the desired password and click OK. This password is required to change the account profile.
  10. To unlock the account profile, click the Unlock button. The Password dialog box appears. Type the valid password and click OK.
  11. Note: In the event the individual password is lost or forgotten, contact your administrator for the override password.

  12. When the account profile is complete, click the Close button.
